CMR Rejected? The Seven Reasons It Usually Happens

Wrong document, wrong name, wrong file — and how to fix each one

# CMR Rejected? The Seven Reasons It Usually Happens

A client master report is a simple document, so a rejection is nearly always one of a small number of specific causes rather than anything mysterious. Here they are, in rough order of how often each actually occurs.

1. It is not a CMR at all

By a wide margin the most common cause. The file uploaded is:

  • a holding statement — lists your shares and quantities
  • a contract note — one day's transactions
  • a ledger or funds statement — money movement
  • a screenshot of the app's profile page — no signature, proves nothing

A CMR lists your *account identity*: name, PAN, DP ID, BO ID, holding pattern, address. It does not list a single share.

Fix: if the document you uploaded contains stock names, go back and download the correct file. CML vs CMR covers what the right document looks like, and the all-brokers guide has the path for each platform.

2. The name does not match your PAN record

Verification matches the holder name on the CMR against the name on the PAN record. Common mismatches:

  • A middle name present on one and missing on the other
  • An initial expanded on one (R. Kumar vs Rajesh Kumar)
  • A maiden name on a demat opened before a name change
  • Extra honorifics or a differently-placed surname

Minor formatting differences usually pass. Substantive ones do not.

Fix: this cannot be resolved by re-uploading. The record has to be corrected at the broker, who then reissues the CMR. If the PAN record is the outdated one, that correction goes through the income-tax portal instead.

3. The digital signature was stripped

This one catches careful people, which is what makes it frustrating.

CMR PDFs arrive password-protected. It is tempting to run the file through an online "unlock PDF" tool to make it easier to handle — but those tools re-save the document, and re-saving destroys the depository participant's digital signature. The signature is precisely what makes a CMR verifiable.

Fix: upload the original protected PDF exactly as your broker sent it, and type the password into the field below the file picker. It is decrypted server-side without touching the signature. Never pre-unlock it.

4. It is a photo or a scan

Photographing a screen, or printing and re-scanning, produces an image with no embedded data and no signature.

Fix: upload the PDF file itself. If you only have it on a phone, forward the original email to yourself and upload the attachment directly rather than photographing it.

5. The account is a joint holding and you are not the first holder

Shares are delivered to the first holder of a demat account. If the CMR shows you as second or third holder, the account cannot receive shares purchased in your name.

Fix: use a demat account where you are the first holder, or open one. This is not something support can override — it is how depository delivery works.

6. The document is stale

A CMR reflects the record at the moment it was generated. If your address, bank details or mobile number changed after that, an old CMR shows the old details and will not match.

Fix: request a fresh CMR after any account-detail change. They are free and most brokers reissue on demand.

7. The account was opened too recently

A demat account has no client master record until the depository finishes registering it. Zerodha, for instance, only exposes the CMR 48 working hours after account opening; other brokers have similar lags.

Fix: wait. There is no way to accelerate this — the document does not exist yet, and support cannot conjure it.

When none of these apply

If you have checked all seven and the CMR is still being rejected, the mismatch is likely in a field you cannot see from the front of the document. Contact us with the demat account number and we will tell you which specific field failed, rather than leaving you to guess.

Uploading the CMR to Polemarch

Once you have the PDF:

  1. 1Open Dashboard → Demat Accounts → Add.
  2. 2Pick your broker from the dropdown — broker-specific instructions appear inline.
  3. 3Upload the CMR PDF. If it is password-protected, type the password in the field below the file picker. We strip it server-side and store the unencrypted copy (max 2 MB; larger files are auto-compressed).

Our verification partner matches the PAN and holder name automatically. If everything matches, the demat is marked verified instantly. If not, it goes to manual review and we email you within one business day.

Shares you buy are delivered into your own demat account at CDSL or NSDL, in your name — Polemarch never holds them. Settlement is T+2 working days.

Frequently asked

The most common cause by a wide margin is uploading the wrong document — a holding statement or a profile screenshot instead of the client master report itself. After that, the usual causes are a name that does not match your PAN record, a PDF whose digital signature was stripped by a third-party unlock tool, and a screenshot or photo rather than the original PDF.
